TRANSPORTATION ACCOUNTING GENERALIST

FULL-TIME TRANSPORTATION ACCOUNTING GENERALIST

MONDAY - FRIDAY 7:00 A.M. - 4:00 P.M.

PDI has an opportunity for a Transportation Accounting Generalist position.  This person performs a variety of general accounting duties in support of the transportation department including driver payroll, expense processing and vehicle licensing.

PRIMARY RESPONSIBILITIES:

  1. Reports to work when scheduled and on time. Adheres to company policies and departmental guidelines.
  2. Performs administrative duties for the department including: Answering questions and problem solving for drivers, posting new routes, updates tractor/trailer list, tracks illness and dispenses letter, enters information into the transportation database, communicates with other departments to provide assistance, sends text and voicemail communications to drivers, locker maintenance and assignments, maintains current list for charge accounts, opens new charge accounts, answers phones, takes messages and directs calls
  3. Coordinates weekly payroll for drivers including: collects and reviews driver reports for payroll information, makes adjustments into Kronos on deductions, breaks, layovers and missed punches, communicates with drivers regarding payroll issues and adjustments, report to payroll on adjustments, missed stops, training and on-call premiums paid to drivers weekly.
  4. Processes freight invoices for PDI Freight and LTL Contract Carriers and Logistics operations through Metafile expense workflow. Matches dispatch notifications, verifies accuracy and sends to be scanned into workflow. In workflow, codes proper G/L accounts and authorizes for payment.
  5. Utilizes Prospero and AS/400 systems frequently to send text message communication to drivers and inserts drivers’ information and schedule for daily bid. Updates systems with driver information as things change with the routes.
  6. Manages multiple projects providing input and recommendations in support of business needs.
  7. Makes log corrections in Samsara as requested by drivers to ensure compliance and accuracy with DOT regulations as it pertains to logs.
  8. Performs verification of accounts payable for Transportation Department including maintaining the accrual system for expenses.
  9. Processes driver annual vacation selection requests. Communicates with drivers who will be off work weekly. Submits miscellaneous time off requests that come in throughout the year.
  10. Gathers all outside purchase receipts for fuel from drivers.
  11. Maintains licensing and permits for all company owned vehicles.
  12. Assists in organizational planning and communication of drivers’ meetings and activities.

  • This job is considered light in nature according to the Department of Labor Weight Classifications with the primary functions of the job being sedentary in nature. This is considered a semi-skilled position. Frequent to constant handling, grasping, pinching, and full reaching motions occur, constant listening, talking or hearing.

MINIMUM EDUCATION AND EXPERIENCE REQUIRED TO PERFORM JOB: High school education or equivalent required. 3 years office and accounting experience preferred.
